Placement Board FAQs
We have compiled a suite of frequently asked questions from placement boards regarding the Turas People system. These will be continuously updated based on user queries arising.
For audit purposes, please complete a Turas Access rights form confirming what type of user the person will be eg. occupational health, medical staffing, payroll. The form should be signed off by someone who already has access to Turas People. The completed and signed form should then be emailed to the Turas People team at TurasPeopleSupport@nes.scot.nhs.uk who will set the person up on the system.
Please note that this process is only for access to Turas People – gaining access to Turas TPM is a different process.
If you are requesting turas people access for a new member of staff, please could note this in your email when sending us the access form to help with triaging your request as we will need to arrange for a Turas Account/ TPM tile to be created by TPM (medical business support team) before the People tile can be added.
If you have a member of staff leaving your team who will no longer need Turas People access/ to be part of the Turas People HR & Medical Staffing Super User channel, please email TurasPeopleSupport@nes.scot.nhs.uk with a note of the staff members name and email address confirming that you would like their access removed/removed from the channel and we will get that arranged for you. If they will also no longer need access to training management, please can you note that in the email too so we can remove their access and the tile from their Turas Dashboard.
Any trainee who was OOP at the time of the changeover to the Lead Employer Arrangements on 1 August 2018 will need to be manually set up on Turas People, most likely any trainees who have been OOP on experience, research or career breaks.
Attached below is the process which should be followed for any trainees who fall in this category. Please complete the form on the document for any OOP returners and email it to TurasPeopleSupport@nes.scot.nhs.uk. We will then let you know when the payroll record has been updated for you to allow you to authorise it at stage 2 for payroll. If you notice any fields on the record are incorrect when you are ready to authorise for payroll, please could we ask you to contact the helpdesk with details of what needs changed and not to reject the form, to avoid the record reverting back to the placement information from prior to the update being made.

As the start date for the trainee is pulled from the programme start date on Turas TPM, rather than the OOP return date, a manual offer letter will need to be issued to the trainee.

To search for a trainee on the ‘manage trainees’ screen, you must firstly ensure the ‘trainees as at’ field is set to a date after the trainee has started in post and click ‘search’. You should then begin typing the trainees name to filter to the correct record.
If a trainee contacts medical staffing with concerns around the content of their contract, you should immediately reject the incorrect contract on Turas People. A guidance document for this is available here.
If the queries relate to banding, salary etc, a contract correction notification of change (NOC) should be issued so that the system can be updated and new contract can be issued to the trainee.
If you notice any placement information for your trainees on TPM is showing incorrectly including information about the trainees post, programme or LTFT hours, please could you contact the relevant Training Programme Administrator to request for this information to be updated as they are responsible for maintaining trainees training records and unfortunately the Turas People support team are unable to assist with this.

If you do not have access to the roster location on the SEF/NOC that you need, please could you contact the relevant payroll team to ask for a new roster code to be set up. Once this has been created please contract the Turas People Support team with the Roster Code Name, Group Code, Paypoint and Finance Code. We will then transfer your helpdesk ticket over to the Digital Request Helpdesk to arrange for this to be set up on Turas People for you.
