Trainee FAQs
We have compiled a suite of frequently asked questions from trainees regarding the Turas People system. These will be continuously updated based on user queries arising.
You can update your address on Turas by doing the following:
Open the Turas dashboard (https://turasdashboard.nes.nhs.scot/)
Select ‘training management’
Select ‘my details’ on top bar on screen
Select ‘Edit’ on top right hand side
Update address/email/name in text boxes
Click ‘save & submit’

If you are updating your address, please note that you will also need to contact your employer’s payroll department. Contact details can be found on the Turas Hub here: https://hub.nes.digital/lead-employer-arrangements/in-employment-information/payroll-information/payroll-contacts/
To change the email address that you use to log in to Turas, please do the following:
- Open the Turas dashboard (https://turasdashboard.nes.nhs.scot/) or one of the tabs on top line (before Applications)
- Click on your name in the top right corner and update your email address there
- That will then change the email address the login as long as it has been done via the Dashboard (doesn't change your password)
Please note if you already have a Turas Account linked to the email address that you are trying to change your current log in to, it will not be possible for you to edit your email address however the Turas team can arrange for your Turas Accounts to be merged for you if you contact them via the green 'helpdesk' button on Turas confirming the email addresses for your accounts and which email address you would like to use for your acccounts going forwards.
If you require your emergency contact details to be updated on Turas, please email the Turas People support mailbox at TurasPeopleSupport@nes.scot.nhs.uk noting the following:
- Your name and GMC/GDC number
- Details of what emergency contact information you would like updated
- Confirmation that you give your permission for the Turas team to update the details on your record on your behalf
The Turas People Support mailbox will confirm when this has been actioned for you.
It is not possible for you to enter your personal details (name, email address, address or phone details) directly onto the SEF and OH form, please could you click on 'Update Personal Details' at the top of the People homepage, this will then take you to the Turas People Management screen. From here you will be able to edit the necessary details and then save the update. The updated details will then populate automatically into the forms for you allowing you to proceed with submitting the form.
Prior to contacting the Turas People team:
- Please could you check that you are logging into your Turas Account using the email address that your Welcome to Turas People e-mail was sent to as this is your current Turas login. If you are concerned that you no longer have access to the email account linked to your Turas account this is not an issue as following your initial login you can change the e-mail address linked to your account by clicking on the menu that appears under your name on the top right of the screen.
- It may be that you have another Turas account that you set up previously, while at university for example to answer tickets on behalf of other medical trainees. If this is the case please could you send us a note of the e-mail address for your other account and also advise us which e-mail address you would like to use and we can merge the accounts for you.
- Please try to open Turas People in a different internet browser (internet explorer, chrome etc). If it still does not work, please email the Turas People Support mailbox at TurasPeopleSupport@nes.scot.nhs.uk noting:
- Your name
- GMC/GDC number
- The issue you are having
- What browser you were trying to access the system using
- Attaching a screenshot of any error message you have received
These pieces of information will help the developers diagnose the issue. The Turas People Support mailbox will keep you updated on the progress as they work to resolve the problem.
The staff engagement form (SEF) is located on the right-hand side of the screen when you are logged into the Turas People application, as shown in the screenshot here.
If, after checking the screen above, you are still unable to see the SEF, please email the Turas People Support mailbox at TurasPeopleSupport@nes.scot.nhs.uk noting:
Your name
GMC/GDC number
The issue you are having
What browser you were trying to access the SEF using (internet explorer, chrome etc)
Attaching a screenshot of what you see on your screen where the SEF should be
Medical staffing colleagues in the Board where you are working on placement/will be starting work on placement are responsible for processing all your pre-employment paperwork on behalf of your employing Board.

Medical staffing colleagues in the Board where you are working on placement are responsible for issuing your contract of employment on behalf of your employing Board, within 8 weeks of you starting your training.

You can upload supporting documents for your pre-employment paperwork to their filing cabinet on Turas People such as P45, payslip, competency documentation or references. You must ensure that you select the correct document category from the drop-down list for the file to pull through to the relevant pre-employment check for HR to review e.g.
- Uploading competencies –select either foundation competency or core competency
- Uploading references – select references
- Uploading right to work evidence – select right to work
Please could we ask you not to select the document category of 'documentation' as this will prevent HR from being able to access your evidence.

While you are awaiting receipt of your own NI number you can complete the field on the form by using a temporary number in the format of TN then your date of birth then F/M e.g. TN050386M. Once you receive your NI number if you contact medical staffing in the placement board going to be working and they will be able to unlock your staff engagement form to allow you to update this information, provided that your form has not already been processed for payroll.
If your placement board have already authorised you staff engagement form for payroll, please could you email your employing boards payroll department with a note of your name, date of birth and your new NI number and they will update it for you.

Please note that the first time you submit a query through this helpdesk you will need to self-register with JIRA using your NHS email address (personal email accounts should NOT be used).

As you are automatically enrolled into the NHS Pension Scheme unless you are not eligible to be a member of the scheme. For information on opting-out of the scheme and the form for requesting this, please go to: https://pensions.gov.scot/nhs/your-membership/opting-out-or-leaving-nhs.
Please send the completed opt-out form to your employing board's payroll department, contact details are available here.
Thank you for filling in the proof of employment form to create your proof of employment letter to use for mortgage applications etc which you have noticed is still showing as pending. The most likely cause for this is that your right to work check and staff engagement form are awaiting your placement board completing them and these 2 checks need to be complete for your employment information to populate into your proof of employment. Please could you contact medical staffing in the placement board where you are working or will be working to confirm with them if these 2 checks have been completed by them. Once these checks have been actioned by your placement board the status of your proof of employment form will then update and you will be able to download the letter.
Please do not hesitate to email TurasPeopleSupport@nes.scot.nhs.uk if your placement board have already completed the above checks for you and you are still unable to access your proof of employment letter and we will look into this for you.
Unfortunately it is not possible to download this letter until you have actually started in post so you would need to wait until this date to download it. If you have also started in post and are still unable to download the letter, please contact the Turas People team via the Helpdesk button on the Turas People application and we can look into this for you.
If you notice that some of the details regarding your programme or placement are incorrect, please contact your Training Programme Administrator to ask for this information to be updated for you. Contact details are available on the Scottish Deanery website here.
To change you bank details please contact your employing board's payroll team with a note of your name, GMC number, date of birth and your existing and new bank details.

Unfortunately the staff engagement form is set up to only accept UK bank account details so it will not be possible to complete this section and submit the form until you have been able to open a UK bank account.
